Job Summary

We are seeking an experienced and detail-driven Remote Archivist to join our client’s team on a contract basis. In this role, you will be responsible for the organization, classification, preservation, and accessibility of both physical and digital archival collections, working in close alignment with institutional standards and best practices.

Remote Archivist Key Responsibilities

  • Organize, classify, and maintain physical and digital archival collections in strict accordance with professional archival standards and client-specific requirements.
  • Develop, document, and implement preservation strategies to safeguard historical and contemporary records across a range of media formats, including paper, photographic, audio-visual, and born-digital materials.
  • Conduct detailed provenance research to establish the origin, authenticity, and cultural significance of archival materials, producing thorough authentication and description reports.
  • Prepare precise descriptive records, finding aids, metadata schemas, and catalog entries that enhance the discoverability and long-term usability of archival resources.
  • Establish, document, and enforce access policies that appropriately balance public usability, researcher needs, privacy considerations, and regulatory compliance.
  • Deliver expert reference services and support to internal staff, external researchers, and members of the public, facilitating accurate and efficient material retrieval.
  • Contribute directly to AI training initiatives by simulating archival management scenarios, evaluating system outputs against professional standards, and providing specialist feedback.
  • Participate in collection development activities including acquisitions assessment, deaccession reviews, and outreach or educational programming where applicable.

Required Qualifications

  • Education: Bachelor’s degree in Archival Science, Library Science, History, Information Management, or a closely related discipline.
  • Experience: Minimum of 5 years of professional, hands-on experience in archival management, records classification, or an equivalent field.
  • Archival Practice: Demonstrated proficiency in both physical and digital archiving workflows, including familiarity with recognized standards such as ISAD(G), EAD, Dublin Core, or equivalent frameworks.
  • Research Expertise: Advanced competency in historical research, document authentication, and provenance studies, with an ability to produce publication-quality descriptive content.
  • Preservation Knowledge: In-depth understanding of preservation methodologies applicable to diverse media formats, including climate considerations, digitization protocols, and disaster recovery planning.
  • Metadata & Cataloging: Proven experience preparing and managing descriptive records, metadata, and finding aids within archival management systems or institutional repositories.
  • Communication: Exceptional written and verbal communication skills, with a demonstrated ability to produce detailed, accurate, and clearly structured documentation for varied audiences.

Preferred Qualifications

  • Advanced degree (Master’s or higher) in Archival Science, Library and Information Science, History, or a related field — such as an MLS, MLIS, or MA with archival specialization.
  • Prior experience contributing to AI, machine learning, or technology-driven projects within the archival, library science, or digital humanities sector.
  • Background in outreach, acquisitions strategy, donor relations, or educational programming connected to archival or special collections.
  • Professional certification from a recognized archival body, such as the Academy of Certified Archivists (ACA) or equivalent.
